Holding your event in a public space?
Big. Small. Shop-bought or baked. Hold an Afternoon Tea, your way.
No matter how you take part, you’ll be raising money for life-saving science and life-changing support.
If you’re thinking of holding your tea in a public space, like a village hall or local park, here’s some top tips for you:
Grab a cuppa and read the guidance
Take a look at the guidance on the gov.uk website. It’s a can-do guide, that explains lots of things like:
- What to think about when it comes to insurance. And when you may or may not need insurance for your fundraising event.

We hope the guidance gives you some peace of mind and reassurance as you plan your fantastic fundraising.
Please note, Breast Cancer Now’s public liability insurance does not cover supporter fundraising events so we wouldn't be able to share ours unfortunately.
Get yourself a tea-do list
The key to a successful day is in the planning – so put together a list and start ticking it off ✅. You could include:
- Pick your scrumptious menu. We’ve got lots of recipes to help you bake a difference.
- Decide how you’ll be raising funds. JustGiving could work really well, as you can create your own QR code. Learn more about using JustGiving in our handy blog.
- Ask for help. People are always keen to lend a helping hand, but sometimes they don’t know what to do. So be clear and share the load!
For public events, there might be a few extra things to add, e.g. if you’re hiring a venue:
- Secure your date. Ask what time you can access the venue and when you have to be cleared up and leave.
- Check what equipment is provided e.g. do they have an urn? Jugs for cold drinks? How much fridge space is available?
- Paying a venue fee? Decide if you want to reclaim from the funds raised. It’s okay to do this, but you need to be clear with your guests it’s ‘all profits’ and not ‘all funds’ going to Breast Cancer Now.
If you’re taking part in a public place:
- Ask for permission. It’s essential that you get the necessary permissions if you’re holding your tea in a public space. We’d recommend you get permission in writing and have a copy with you on the day.
- Check if you need a letter. The land owner or local authority may also want to see a letter of authority, to confirm you’re fundraising for Breast Cancer Now.
- Plan equipment. Do you need garden chairs, a picnic blanket and plates? Plan ahead, so you’re not caught out on the day.

Add raising awareness to your plans
Your tea is an incredible opportunity to spread the word of the signs and symptoms of breast cancer.
So why not share some Touch Look Check information at your tea? You could:

- Show the Touch Look Check video
- Look into having a public health talk*
*Please note we do our best to make arrangements as quickly as possible, we normally need at least 4 weeks’ notice. We ask for a minimum audience size of 30 people. We can accommodate bookings with a minimum of 15 people for communities (i.e non workplace).
